How to convert your files into PDFs – a step by step guide

If you’re creating your own designs for the first time – whether it’s Business Stationery, Poster Printing, Cards or even Roller Banners, there’s a tried and tested format that you’ll need to use to ensure that your print hits the presses perfectly. That format is PDF.

PDF stands for Portable Document Format, and when you save your designs and artwork as a PDF, you’ll be ensuring that your artwork can be not only read efficiently by our print software, but also that you’ve saved enough detail and created a file that can be easily opened and finally, printed.

If you’ve created a design in a programme like Word, Excel, Power Point or design software like Photoshop, Illustrator or InDesign, it’s really easy to export your artwork into a PDF.

Exporting simply means saving your artwork as a different file type.

 

We’ve listed a few of the most common software applications for design, and provided an easy step by step guide to how you can export these into PDFs.

 

Word

  • When you’re done designing, go to File > Save (as you normally would).
  • Then just simply select the drop-down menu and scroll down until you see ‘PDF’
  • Your ‘Save’ button will change from ‘Save’ to ‘Export’
  • Just above that, you’ll see two options. Make sure you choose ‘Best for printing’
  • Hit ‘Export’ and you’re done!

 

PowerPoint

  • When you’re done designing, go to File
  • Select ‘Export’
  • Ensure the drop-down option is displaying ‘PDF’
  • Hit ‘Export’ and you’re done!

 

Excel

  • When you’re done designing, go to File > Save (as you normally would)
  • Then just simply select the drop-down menu and scroll down until you see ‘PDF’
  • Be sure to choose either ‘Sheet’ or ‘Workbook’ depending on whether you’re exporting more than one page
  • Hit ‘Save’ and you’re done!
